Reports & Monitoring
The Reports & Monitoring module is a comprehensive tool that integrates Excel or PDF reports, Key Performance Indicators (KPIs) and Real-time Dashboards to provide valuable insights into business operations. It offers a wide range of reports that cater to different departments such as sales, laboratory, customer service, management, and collection. These reports help in monitoring, analyzing, and optimizing various processes and activities, enabling businesses to improve efficiency, reduce costs, and enhance customer satisfaction. On the other side, the KPIs help track important metrics for different departments in a flash. The color coded (green, yellow, red) help easily visualizing which process needs to be prioritized.
Workflow
The different reports in the module track and provide insights into different stages of the workflow, enabling users to monitor, analyze, and optimize their processes. The list is very extensive so we’ll mention only a few to give a glimpse of what’s included.
Management Reports: The Production Status Report (PSR) and the Equipment Sales PSR provide a full view of the in-process production and equipment sales workflow, respectively. These reports enable management to monitor the progress of these processes, identify bottlenecks and inefficiencies, and take corrective measures to improve them. The Vendor Evaluation Report details vendor evaluation based on survey evaluation in the specified period. This report helps management assess vendor performance and make informed decisions about vendor selection and retention.
Laboratory Reports: The Activity Report and the Maintenance Activity Report detail the units being serviced for calibration and maintenance, respectively. These reports help the laboratory to analyze the workload and performance of technicians, identify areas for improvement, and optimize resource allocation. The Technician Billing Report provides a detailed metric of calibrations performed by each technician for billing and performance analysis.
Customer Service Reports: The Recall Report summarizes calibration totals due in the specified period and helps customer service organize and schedule upcoming pickup or on-site events. The Surveys Report details customer responses to the satisfaction survey in the specified period, enabling customer service to respond proactively to customer needs and improve satisfaction.
Sales Reports: The Quotes Resolved Report shows all quotes in the resolved status (won/loss), enabling management to track sales performance and identify areas for improvement. The Sales Funnel Report provides a snapshot of open projects and all phases in the quote follow-up, allowing sales teams to prioritize and focus their efforts on the most promising leads.
Collection Reports: The Collection Snapshot Report takes a snapshot of all due invoices at the specified date, enabling the collection department to identify collecting bottlenecks and take corrective actions. The Collection Efficiency Report shows the ratio between total paid against expected collection, enabling the collection department to measure its performance and identify areas for improvement.
The Reports & Monitoring module also includes Key Performance Indicators that help track important metrics for different departments. Some examples are the turnaround time, receiving inspection, and paperwork inspection metrics. These KPIs are displayed in the form of gauges with thresholds, and each threshold is color-coded to indicate the current state of the metric. For example, a TAT gauge colored green implies a healthy state, yellow indicates a warning, and red indicates that it has exceeded a critical threshold. This allows departments to quickly assess the status of their performance and take appropriate action as needed.
Finally, it also includes target dashboards for different departments to monitor their day-to-day workflow in real-time. This feature allows departments to easily track their progress, identify bottlenecks, and make necessary adjustments to improve efficiency. One example of a target dashboard is the Lab Monitor, which displays the FIFO List, providing a clear visual aid for the laboratory to prioritize their work in progress. The list shows the items scheduled for expedited processing at the top, followed by a list of instruments that have been in the lab for longer periods of time. With this feature, laboratory supervisors can quickly identify bottlenecks and implement corrective actions, reducing the turnaround time and improving the overall efficiency of the lab.
